1. Who we are and what this policy covers
MOTOKS ("we", "us") manufactures and exports motorcycle parts, including carburetors, brake pads, sprockets and OEM/ODM components. This policy explains how we handle personal data collected through www.motoks.com, our quotation forms, newsletter subscriptions, catalog downloads and direct correspondence.
It does not cover third-party websites we may link to. Where we act as a processor for a customer's own end-customer data during an OEM/ODM project, the customer's privacy notice governs that data.
2. Information we collect
We only collect what is necessary to answer your enquiry and fulfil orders:
- Contact details you submit: name, company, email address, phone or WhatsApp number, country.
- Commercial information: products of interest, quantities, target prices, delivery requirements, and any message content you send us.
- Technical data: IP address, browser type, device type, pages visited and referring URL, collected through server logs and privacy-friendly page-view statistics.
- Marketing preferences: whether you subscribed to our newsletter and which emails you opened.
3. How we use your information
- To prepare quotations, samples and technical proposals you request.
- To communicate about orders, production schedules, shipping documents and after-sales matters.
- To send newsletters, product updates or catalog releases — only where you subscribed, and you may unsubscribe at any time.
- To understand which products and pages are useful so we can improve the website.
- To prevent fraud, abuse and unauthorised access to our systems.
- To comply with export control, tax, customs and accounting obligations.
4. Legal bases (EEA/UK visitors)
Where the GDPR or UK GDPR applies, we rely on: performance of a contract or steps prior to entering a contract (quotations, orders); our legitimate interests (responding to B2B enquiries, securing our systems, improving our products); consent (newsletter and non-essential cookies); and legal obligation (tax, customs, export records).
7. International transfers
Our production and commercial operations are based in China, so enquiries and order data are processed here. Where data originates in the EEA, UK or other jurisdictions with transfer restrictions, we rely on appropriate safeguards such as standard contractual clauses, and we limit transfers to what is needed to handle your request.
8. How long we keep data
Quotation and enquiry records: up to 3 years after the last contact, so we can pick up an interrupted project. Order, invoice and shipping records: as long as required by Chinese accounting and customs rules (generally 10 years). Newsletter data: until you unsubscribe. Server logs: up to 90 days.
9. Your rights
Subject to applicable law, you may request access to your personal data, correction of inaccuracies, deletion, restriction of processing, portability, and objection to processing based on legitimate interests. You may also withdraw consent for marketing at any time and lodge a complaint with your local supervisory authority.

10. Security
Data is transmitted over HTTPS and stored on access-controlled servers. Administrative access requires individual credentials and is logged. We keep our software patched and take regular backups. No system is perfectly secure, but we take these obligations seriously and will notify affected parties of a breach where law requires it.
11. Children
This is a business-to-business website. It is not directed at children under 16 and we do not knowingly collect their personal data.
12. Changes to this policy
We may update this policy to reflect changes in our practices or legal requirements. The revision date at the top always shows the current version. Material changes affecting how we use existing data will be announced on this page.
